Job Description
We have an Opening for Front Office Executive for ITPL Location for a Telecom Company.
The Candidate must have:-
Minimum 2 years of Exp. in Relevant field.
Working hours:- 9 AM to 6:30 PM ( Mon- Sat ).
FOE has to Report to Facility Manager at the site.
Job Description:-
Meeting Room Bookings
1. Undertake bookings for the Board Room, Cyprus, Telepresence, Saturn, Tulip VC rooms, all Training rooms & Cabins(both Cluster D & B)
2. Other Meeting/VC rooms booking through the Share Point portal
3. Updating all bookings as a backup and thereby check no double bookings are undertaken by the tool and if so, post the users accordingly and assist them with an alternate room, if any
4. Keep a track of Meeting room occupancy & send emails to the users on a daily basis as Defaulters(rooms booked but not been used)
5. Coordinate with Internal IT team as and when required with regards to upgradation of Share Point tool
Board Room Arrangements
1. Ensure timely arrangements
2. Coordinate with the BMG team with regards to the arrangements requisite pertaining to Visits
3. Confirm Tea bar set-upand other required set-ups to be arranged only for Steerco Meetings& important group meetings
4. Coordinate with IT dept. so as to ensure proper VC/Audio functioning for important meetings as scheduled
5. Ensure cabins are placed with basic necessaries like Bisleri/Stationery/Key Contacts etc...when the same is booked for high-profile visitors
6. Ensure everything is in place with regards to Room Bookings, Cabin set-ups, Access cards etc...during external visits to VISPL.
Reception Activities
a) Managing the Reception and ensure it is clean and tidy at all times
b) Greet, register and badge visitors in compliance with Company Security policies
c) Answer phones professionally, responding to general questions, inquiries and
transferring calls as needed
d) Ensuring newspapers are kept in an organized manner
e) Promoting a friendly office environment
f) Coordinating with the FM Team and other staff (Pantry/HK etc.) for complete
arrangements so as to ensure smooth functioning at all times
Other Activities
a) Abide by all relevant facility policies and procedures
b) Provide support in office events
c) Report incidence to the Reporting Manager at site
d) Update & keep track of Birthday's of Admin Dept
e) Ensure timely arrangement of lunch in-house for the Leadership Team/Visitors or any other as per approval received (act as a back-up)
f) Inspection of Ladies Rest Room
g) Assist all staff/visitors in best possible ways
